Last updated: 8 September 2026. These booking conditions form the agreement between you and Sola Safari Travels. Please read them before paying a deposit.
Every safari we quote includes the itinerary exactly as set out and confirmed by you in writing, along with the accommodation, park and conservancy entry fees, transport, driver guide and meals stated in that itinerary. If something is not written in your itinerary, treat it as excluded and ask us.
Comprehensive travel insurance is a condition of travelling with us. Your policy must cover medical treatment, emergency evacuation, repatriation, trip cancellation and curtailment for the whole of your trip. We may ask for your policy number and emergency contact before departure. We are not liable for costs you incur that adequate insurance would have covered.
Send a non-refundable deposit of 50 per cent of the total tour cost. On receipt of your deposit, and subject to availability, we will reserve your place on the selected safari and confirm in writing. No booking is confirmed until you have that written confirmation from us.
Final payment is due 30 days before departure. Bookings made inside 30 days of departure are payable in full at the time of booking. We accept bank transfer, card payment and M-Pesa. Any bank charges are payable by you.
Bookings that are cancelled, reduced in length of stay or reduced in number of participants are subject to cancellation and no-show fees. Cancellation must be sent to us in writing and takes effect on the day we receive it. Charges are expressed as a percentage of the total tour price.
| Notice given | Charge |
|---|---|
| More than 8 weeks | Deposit refunded less a 5 per cent handling fee |
| 8 weeks to 4 weeks | 50 per cent |
| Less than 3 weeks | 60 per cent |
| Less than 2 weeks | 90 per cent |
| Less than 1 week | 100 per cent |
Should you fail to join a tour, join it after departure, or leave before it is complete, no refund of the tour fare can be made. If the reason for cancellation falls within the terms of a travel insurance policy you hold, the insurer will normally refund these charges to you subject to the terms of that policy.
If you wish to change a confirmed booking we will do our best to accommodate it. Changes are subject to availability and to any charges imposed by camps, lodges or airlines, plus an administration fee. A change of departure date inside 8 weeks of travel is treated as a cancellation and rebooking.
Should accommodation not be available at the quoted hotels, lodges or tented camps, alternative accommodation of a similar calibre will be provided at no extra cost to you.
While we use our best endeavours to ensure that all anticipated accommodation is available as planned, there is no claim of any nature against the company for a refund in whole or in part where accommodation or an excursion is unavailable, or where you were unable to use a service.
You acknowledge that a safari can be physically demanding and that it is your responsibility to be sufficiently fit to take part. Tell us in writing, well before departure, about any medical condition, mobility limitation, allergy or special dietary requirement so that we can advise whether the itinerary is suitable and arrange for it. Check vaccination and malaria prophylaxis requirements with a travel clinic in good time.
Please keep luggage light. Soft duffel bags are strongly preferred. Luggage is limited to 15 kg per person on internal local flights, including hand luggage, and this limit is set by the airline rather than by us.
You must carry a valid passport and obtain all appropriate visas, permits and certificates for the countries you will visit. Your passport must be valid for at least six months beyond the end of your trip and hold sufficient blank pages. It is your responsibility to hold the correct documentation. We are not responsible if you are refused entry to a country because you lack it.
Rooms are available from 1200 hours on the scheduled arrival date and should be vacated by 1000 hours on the scheduled departure date. Later departure may be possible subject to arrivals that day.
Although every effort is made to adhere to schedules, the company reserves the right, and at times is obliged, to change routes and accommodation as conditions dictate. Such conditions include events of force majeure or statutory direction, seasonal rainfall on bush tracks, airstrips and game areas, game migration between regions, and reservation problems. The company will make all reasonable efforts to resolve the situation, including offering an alternative of similar standard.
We are not liable for any failure to perform where that failure is caused by circumstances beyond our reasonable control, including war, civil unrest, terrorism, epidemic or pandemic, government action or travel restriction, industrial action, fire, flood, drought, adverse weather, or the closure of airports, airspace or park gates.
If one of our guides is unable to lead a safari due to illness or other reasons, we reserve the right to substitute another guide of equivalent experience.
We will do our utmost to hold prices as quoted or published. Should fluctuations in statutory taxes, park fees or exchange rates force increases on us, we reserve the right to surcharge. Where a surcharge exceeds 8 per cent of your tour price you may cancel and receive a full refund of amounts paid.
The company may at its discretion, and without liability or cost to itself, cancel or terminate a booking at any time, in particular in the event of illness, or illegal or incompatible behaviour by a passenger, who in such circumstances is not entitled to any refund.
Clients accept the authority and decisions of the safari leader appointed by the company. Final decisions on itinerary, accommodation and conduct during the safari rest with that leader, whose primary concern is the safety of the group.
The company may make use of photography or film taken on safari by its staff for general publicity, without payment. If you would prefer not to appear in such material, tell us in writing before departure and we will respect that. Please confirm with your driver guide before photographing local people.
The company is insured against legal liabilities arising from injuries that might be received by passengers in its vehicles. The company’s liability to passengers carried in its vehicles is governed by the laws of Kenya and no other country, and all claims are subject to the jurisdiction of the courts of Kenya.
The company reserves the right to employ subcontractors to carry out all or part of the services agreed. Where it does, the terms of the relevant clause are subject to the booking conditions and cancellation provisions of the travel organiser or airline concerned.
Neither the company, nor any person acting for or on behalf of the company, is liable for any loss or damage whatsoever, including without limitation errors or omissions in the brochure or other literature, late or absent confirmation or acceptance of bookings, or loss or damage caused by delay, sickness or death, whether occasioned by negligence or not.
The company further has the right at any time at its discretion to cancel any tour or the remainder of it, or to alter route, accommodation, price or other details, in the event of a tour being rendered impossible, illegal or inadvisable by weather, strike, war, government interference or any other cause. Extra expense incurred as a result is the responsibility of the passenger.
Please be aware that these safaris bring you into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur. Neither the company, nor its employees, nor its agents can be held responsible for any injury or incident on safari. Follow your guide’s instructions at all times.
If something is wrong during your trip, tell your driver guide or camp manager immediately so that it can be put right at the time. If the matter is not resolved, write to us at info@solasafaritravels.com within 28 days of returning home, quoting your booking reference, and we will respond within 28 days.
Although we make a concerted attempt to verify the accuracy of statements in our trip documentation, including brochure, website and trip reports, we cannot be held responsible for any error, omission or unintentional misrepresentation.
If any term in these booking conditions is unenforceable or void by operation of law, as being against public policy or for any other reason, that term is deemed severed from this contract, or amended only to the extent necessary, so that all remaining terms survive and continue to bind.
All terms and conditions of this agreement are governed by and construed in accordance with the laws of Kenya. Any litigation necessary to resolve a dispute between the parties shall be filed in the courts of Kenya where the dispute cannot be settled through arbitration.
