How Sola Safari Travels collects, uses and protects your personal information, and the rights you have over it.

Sola Safari Travels (“Sola Safari Travels”, “we”, “us” or “our”) respects the privacy of our website visitors (“users”, “you” or “your”). This Privacy Policy describes the types of information we collect on our website, how we use that information, the legal basis on which we rely, and the steps we take to protect it.

Who we are

Sola Safari Travels is the data controller for the information described in this policy. We are a tour operator registered in Kenya, based at Spur Mall, Ruiru, Kenya. You can reach us at info@solasafaritravels.com or +254 736 992 608 for any question about your data.

Information we collect

We collect two types of information.

  • Personal information. Information that identifies you as an individual: your name, email address, phone number, mailing address, payment information, passport details where a booking requires them, dietary and medical information you choose to share for safety reasons, travel preferences, and anything else you volunteer.
  • Non-personal information. Information that does not identify you: browser type, device type, operating system, IP address, browsing activity on our website and general demographic information. We collect this automatically through cookies and similar technologies.

Why we use it, and our legal basis

Under the UK and EU General Data Protection Regulation we must tell you the lawful basis for each use. Ours are set out below.

How long we keep it

We keep enquiry records for two years from your last contact with us. Booking and financial records are kept for seven years to meet Kenyan tax and accounting requirements. Passport details are deleted within ninety days of your trip ending. Marketing consent records are kept until you withdraw consent and for two years afterwards as proof that consent existed.

Sharing your information

We share your information with third parties who help us run your trip: camps, lodges and hotels, domestic airlines and transfer operators, park authorities where entry requires it, payment processors, and our accounting and marketing providers. They are permitted to use your information only for the purpose we disclose to them.

We may also share information with government or law enforcement officials where the law requires it, or to protect the rights and safety of ourselves or others. We do not sell your personal information to anyone.

International transfers

We are based in Kenya. If you are in the United Kingdom or the European Economic Area, your information will be transferred outside that area to Kenya, and to any country in which your trip takes place. Kenya is not currently the subject of a UK or EU adequacy decision. Where we transfer your data we rely on your explicit consent, or on the transfer being necessary to perform the contract you have entered into with us, and we apply appropriate contractual safeguards with our suppliers.

Your rights

Subject to the law that applies to you, you have the right to:

  • Ask what personal data we hold about you and receive a copy of it
  • Have inaccurate data corrected
  • Ask us to delete your data, subject to records we must keep by law
  • Ask us to restrict how we use your data while a concern is resolved
  • Receive your data in a portable, machine-readable format
  • Object to processing carried out on the basis of legitimate interests
  • Withdraw consent at any time, without affecting anything done before you withdrew it
  • Unsubscribe from marketing using the link in any email we send

Complaints

If you are unhappy with how we have handled your data you can complain to a supervisory authority. In the United Kingdom this is the Information Commissioner’s Office. In the European Economic Area it is the authority in your country of residence. In Kenya it is the Office of the Data Protection Commissioner. We would appreciate the chance to address your concern first.

Data protection

We take reasonable steps to protect your information from unauthorised access, disclosure, alteration or destruction, including encryption in transit and access controls on our systems. No website or internet transmission is completely secure, so we cannot guarantee absolute security. If a breach occurs that is likely to result in a risk to your rights, we will notify the relevant authority and, where required, you.

Children

Our website is not directed at children. We do not knowingly collect personal information from anyone under 16 without the consent of a parent or guardian. Where a child travels with you, we collect their details from you as the responsible adult. If you believe a child has given us information directly, contact us and we will delete it.

Cookies and tracking

We use cookies and similar technologies to remember your preferences, understand how the site is used and improve your experience. Essential cookies keep the site working and cannot be switched off. Analytics and marketing cookies are only set with your consent. You can also disable cookies in your browser settings, though some features may then not work.

Our website links to other websites, including our partners and review platforms. Those sites have their own privacy policies and we are not responsible for their content or practices. We encourage you to read them.

Changes to this policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised date at the top. We encourage you to review it periodically.
